A complete guide to understanding how the staff appraisal and approval process works.
Use this guide to learn how to access the portal, update your staff information, complete self appraisal, understand supervisor and HOD review, complete peer or subordinate feedback where assigned, and track your appraisal progress.
Getting Started - Login Process
Follow these steps to access the NIMC Appraisal Portal and begin your appraisal process.
Access the Portal
Visit the official NIMC Appraisal Portal using the approved portal link. Use a secure internet connection and a supported browser.
Enter Your Login Details
Use your official email address as your username and enter the password provided by HCM/Admin.
Change Password on First Login
First-time users must change the default password before accessing appraisal functions. Use a strong password and keep it confidential.
Continue to Staff Information Update
After the first login and password change, review and submit your staff information before self appraisal can begin.
Understanding the Complete Appraisal Process
The NIMC appraisal process is divided into two main phases: staff update approval and performance appraisal.
Phase 1: Profile Verification and Code Access
Review profile -> Agree and Continue -> Appraisal code generatedThis phase confirms that staff information is accurate and generates appraisal access after staff certification.
Correction path where needed
Edit information -> Submit correction -> Admin/HCM approves -> Staff reviews updated profile -> Agree and Continue -> Appraisal code generatedThis path is used only when the current official profile information needs correction before self appraisal.
Profile Verification and Appraisal Code Flow
Staff must certify the official profile information before the appraisal access code is generated.
When profile information is correct
- Staff opens the profile verification page.
- Staff reviews personal, duty station, job, supervisor, and HOD information.
- Staff ticks the certification checkbox.
- Staff selects Agree and Continue.
- System marks the profile as VERIFIED.
- System sets appraisal status to SELF_APPRAISAL_PENDING.
- System generates an active appraisal access code and emails it to the staff.
When profile information needs correction
- Staff selects Edit Information.
- Staff submits a profile correction request with a clear reason.
- Status changes to PENDING_ADMIN_APPROVAL.
- Admin/HCM reviews the request.
- If approved, the official profile is updated and staff is notified.
- Staff returns to the profile page and reviews the updated information.
- Staff ticks the certification checkbox and selects Agree and Continue.
- System marks the profile as VERIFIED and generates the appraisal access code.

Phase 2: Self Appraisal Process
Self appraisal becomes available after profile verification is completed and the appraisal access code has been generated.
Self appraisal steps
- Open Self Appraisal.
- Enter and validate the appraisal access code sent after profile verification.
- Review your role and appraisal cycle.
- Complete all required self appraisal fields.
- Add achievements, responsibilities, comments, and supporting evidence where required.
- Save draft if you are not ready to submit.
- Preview your self appraisal.
- Submit final self appraisal.
- Status changes to SELF_APPRAISED.
Digital signature guideline
- Enter your official name as First Name Last Name, Last Name First Name, First Name Middle Name Last Name, or Last Name First Name Middle Name.
- Digital signature matching is not case-sensitive.
- Middle name is optional.
- Do not add titles, punctuation, additional names, or extra spaces.
Supervisor Review and Appraisal
After self appraisal is submitted, the supervisor reviews and rates the staff.
Supervisor steps
- Supervisor opens assigned appraisal.
- Supervisor reviews staff self appraisal.
- Supervisor enters scores and comments.
- Supervisor confirms all required ratings.
- Supervisor previews the appraisal.
- Supervisor submits final supervisor appraisal.
- Status changes to SUPERVISOR_SUBMITTED.
HOD Review and Certification
After supervisor appraisal is submitted, HOD reviews and certifies the appraisal.
HOD responsibilities
- Review supervisor scores
- Review comments
- Review justification where required
- Adjust score if allowed
- Certify appraisal
- Submit final HOD review
Peer Appraisal
Peer appraisal is colleague-to-colleague feedback and contributes 5 marks to the final appraisal score.
Confidentiality before self appraisal
- Show only Confidential Peer Appraisal Assignment.
- Do not show staff name, staff ID, department, unit, grade level, job role, avatar, or identifying detail.
- Action button should show Not Yet Available.
Availability after self appraisal
- Show assigned staff details.
- Enable Start Appraisal or Continue Appraisal.
- Peer review does not change the main appraisal status.
Peer form sections
- Punctuality / Attendance - 10 points
- Behaviour - 10 points
- Work Habits / Appearance - 10 points
- Inter-personal Skills - 10 points
- Leadership and Management Skills - 10 points
Subordinate Appraisal
Subordinate appraisal is junior-to-senior feedback from a lower-level staff member about a higher-level staff member.
Confidentiality before self appraisal
- Show only Confidential Subordinate Appraisal Assignment.
- Do not show staff name, staff ID, department, unit, grade level, job role, relationship title, avatar, or identifying detail.
- Action button should show Not Yet Available.
Availability after self appraisal
- Show higher-level staff details.
- Enable Start Appraisal or Continue Appraisal.
- Subordinate review does not change the main appraisal status.
Subordinate form sections
- Punctuality / Attendance - 10 points
- Behaviour - 10 points
- Work Habits / Appearance - 10 points
- Inter-personal Skills - 10 points
- Leadership and Management Skills - 10 points
HCM Finalization
HCM closes the appraisal after all required review stages are completed.
HCM responsibilities
- Verify appraisal completion
- Confirm required components
- Review status consistency
- Finalize appraisal cycle
- Lock completed appraisal record
Approved Appraisal Status Flow
Staff has not completed profile verification.
A profile correction request is awaiting Admin/HCM approval.
Admin/HCM approved the profile correction. Staff should review the updated profile and agree.
Admin/HCM rejected the profile correction. Staff may submit another correction or agree if the current profile is acceptable.
Staff certified the official profile by clicking Agree and Continue.
Appraisal code has been generated and self appraisal can begin.
Staff has submitted self appraisal.
Supervisor has completed performance appraisal.
HOD has reviewed and certified the appraisal.
HCM has finalized and closed the appraisal.
Important Things to Remember
For All Staff Members
- Complete your staff update carefully.
- Confirm your supervisor and HOD details before submission.
- Complete self appraisal honestly and thoroughly.
- Submit before the deadline.
- Use Save Draft if you are not ready to submit.
- Preview before final submission.
- Track your appraisal status on your dashboard after login.
- Contact support early if you notice wrong information.
For Supervisors / HODs / Approvers
- Review assigned approvals promptly.
- Provide fair and evidence-based ratings.
- Do not submit scores above 90% without required justification.
- Use comments to support ratings.
- HODs should certify appraisals carefully.
- Contact HCM for workflow or policy issues.
For Peer and Subordinate Reviewers
- Submit assigned reviews honestly and professionally.
- Provide constructive feedback.
- Do not disclose confidential appraisal assignments.
- Peer review is colleague-to-colleague feedback.
- Subordinate review is lower-level-to-higher-level feedback.
- Submit before the deadline.
